In this respect, I would like to inform you that I have decided to make a project on Online Sales and Inventory Management System. I have studied about the various aspects of online sales and Inventory management system and make a proposal accordingly which is enclosed herewith for your kind acceptance. Introduction to the proposals:

Sales are one of the most crucial functions of any organization. It is the principal, and often, the only revenue generating function in the organization. Sales have formed an important part of business throughout history and will continue to do so. In addition to helping an organization achieve its business goals, the selling function performs various other roles such as enhancing knowledge pertaining to the internal and external environments, developing positive relationships with customers, suppliers and distributors, and negotiating with customers to sell the company's products profitably. In present time with the help of internet we can simplify or enhance those facts related with the sales to confront the challenges we face to manage large scale organization such as Chain departmental store or any other store for that matter. So my offering here is to provide an online based complete sale and inventory management system with which we can manage all the above mention particulars with great details such as customers purchasing history, current market trend, optimal inventory requirement and distributor’s price fluctuation with the proper management of data, report and statistics.

Objective:

This project is aimed at developing an Online Sales and Inventory Management System for a departmental store. This system can be used to store the details of the inventory, update the inventory based on the sale details, produce receipts for sales, and generate sales and inventory reports periodically. This is one integrated system that contains both the user component used by salespersons, sales managers, inventory managers and the admin component used by the administrators for performing admin level functions such as adding new items to the inventory, changing the price of an item. This system runs on multiple clients, offers a common interface to its users and connects to a common database. The Online Sales and Inventory Management System is a real-time inventory database capable of connecting multiple stores. This can be used to track the inventory of a single store, or to manage the distribution of stock between several branches of a larger franchise. However, the system merely records sales and restocking data and provides notification of low stock at any location through email at a specified interval. The goal is to reduce the strain of tracking rather than to handle all store maintenance. Further features may include the ability to generate reports of sales, but again the interpretation is left to the management. In addition, since theft does occasionally occur, the system provides solutions for confirming the store inventory and for correcting stock quantities.

Modules:

This Project should have the following modules:
  • Sales Manager
  • Sales Person
  • Inventory Manager
  • Admin

(i). A sales person should be able to:

  • login to the system through the initial screen of the system
  • change the password after logging into the system
  • see the status of the inventory, whether a particular item is available or not
  • search for a particular item by typing the initial letters (‘app’ for example may bring up the item ‘apple’ in the top) or by category-wise (apple, for example, may be looked up by going through the category ‘fruits’)
  • enter the items purchased by a customer and produce a bill for the same (the bill will have a unique sale id, date, time, item/quantity/price details)
  • cancel the produced bill, in case of error in entering the details, and produce a new one
  • take back an already sold item that is not satisfactory to the customer (the shop allows that) and produce a receipt for the same
  • inform the inventory manager about the items that are not available, so that they can be stocked
  • inform the sales manager about any exceptions (such as an item is being purchased, but it is not available in the system)
  • get help about the system on how to use the different features of the system

(ii). The inventory manager should be able to:

  • login to the system/change his password after logging in.
  • Add and validate last purchased product with authentication
  • check the status of the inventory.
  • see the reports from sales people about items that are not available and need to be kept in the inventory.
  • Validate the inventory against the sales done in the previous day (whether the items that are sold and the change in the inventory for the corresponding items match).
  • Generate inventory reports of the items category-wise, price-wise.
  • Generate inventory-trends (like how is coffee powder stock changing over the month).

(iii). The sales manager should be able to:

  • Login to the system/change his password after logging in.
  • Check how many bills have been generated in the day so far.
  • Check how much money is transacted in the day so far.
  • Check how many bills have been cancelled so far in the day(due to wrong entry by the sales persons).
  • Check how many items have been returned so far in the day.
  • Check for any exception reports from the sales persons and correct it by contacting the inventory manager.
  • Generate sales-trend graphs for each of the item (like how is apple selling in the last one month).

(iv). The administrator should be able to

  • login to the system and change his password after logging in.
  • add new users to the system.
  • Add new items/categories to the inventory (‘Orange’ may be added to the category ‘fruits’ or a new category such as ‘vegetables’ may be added) and to change the price of an item.

Feasibility Analysis:

The purpose of feasibility study is not to solve the problem, but to determine whether the problem is worth solving. This helps to decide whether to proceed with the project or not. The feasibility study concentrates on the following area.
  • Operational Feasibility.
  • Technical Feasibility.
  • Economic Feasibility.

Operational Feasibility:

Operational feasibility study tests the operational scope of the software to be developed. The proposed software must have high operational feasibility, and the usability will be high. So I can say that my proposed software will have high operational feasibilities because of its practical application.

Technical Feasibility:

The technical feasibility study compares the level of technology available in the software development organization and the level of technology required for the development of the proposed project. Here the technology I am going to use for my proposed software is not much difficult to acquire and implements for that I can insure that the level of our required technology is highly available one any software organization which can fulfill any requirement for my proposed project.

Economic Feasibility:

The economic feasibility study evaluate the cost of the software development against the ultimate income or benefits gets from the developed system and my proposed system will have high economical feasibilities because the benefit of its implementation far out-weight the cost of the development cycle for this project.

Technology I will use:

It will be a web based software that means all transaction need be established and execute between clients and server, so doing its operational work it need to be connected with the server in a frontend and backend system.

For frontend system or interface I will use:

  • HTML5
  • CSS3
  • JavaScript
  • Bootstrap

For backend system I will use:

  • PHP (Sever side general purpose scripting language)
  • MySQL (Relational database management server)

Server Software Configuration:

  • Operating system: Windows 7 or Linux based operating system.
  • Server: HTTP based Apache server.

Server Hardware Configuration:

  • Processor: Intel or AMD duel core processor speed above 2.00 GHz.
  • RAM: 2GB.
  • Hard disk drive: 40GB.

Project Milestones:

It is difficult to estimate the exact time duration required to develop such project. Although I have calculated an approximate time limit within I do believe that I will be able to complete my proposed project.

Implementation:

The implementation will cover the following areas:
  • Analysis of online sales and inventory management system.
  • Core coding of the application.
  • Database design.
  • Front end design of all forms.
  • Developing the business and database logic.
  • Developing the test cases.
  • Module level unit testing.
  • Bug fixing and final release including server setup.
